The Smart Buildings Project Coordinator supports the project management team with document control, project scheduling, financial documentation, and project close-out to ensure projects move smoothly through project milestones.

As a smart Buildings Project Coordinator, you will:

  • Position will provide billing support to the Atlantic Zone (OH, TN, KY, PA, and Baltimore, MD)

  • Assist Project Management team with creation and updating of SOVs and AIAs.

  • Coordinate and attend weekly project review meetings with Project Managers to review project status, billings to be submitted, etc.

  • Review Customer Contract documents to ensure billing requirements are met.

  • Maintain project billing database to ensure customer billing requirements (AIA, waivers, Certified Payroll, etc. ) are current and billing requests are submitted accurately.

  • Maintain billing and collections documentation; communicate issues to the project management team.

  • Collaboration with other teams within the organization relating to billings, collections, etc.

  • Communication with customer regarding approval of pencil copy AIAs, corrections, etc.

  • Opportunity to move into Associates Project Manager (APM) with the end goal of becoming a Project Manager (PM)

Basic Qualifications:

  • High school diploma or state-recognized GED 

  • Excellent organizational and interpersonal skills 

  • Ability to read and understand contract documentation

  • Proficient in Microsoft Office and business software systems 

  • Good verbal and written communication skills in English 

  • Qualified applicants must be legally authorized for employment in the United States 

Preferred Qualifications: 

  • Office/Administrative experience 

  • Experience in similar industry or construction industry

  • Familiarity or experience with HVAC

  • SAP experience

  • The pay range for this position is $43,890 - $82,800. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications and premium geographic location.
