Job Description:

Provide administrative services to the Transducer, Advanced Development and Point of Care organizations. Enable executives, managers and employees to meet the objectives of the team through the effective communication with internal and external partners and utilization and continuous improvement of support processes.

•Interacts internally across global team, greater Ultrasound organization and externally with vendors, consultants and partners

•In this key role, you will be supporting a very dynamic and high energy group that is distributed across seven locations in two countries

Key Responsibilities:

•Manage calendar for Vice President of Engineering. This includes scheduling internal and external appointments ensuring optimal time management

•Conserves executive's time by reading, researching, and routing correspondence and collecting & analyzing information

•Coordinate domestic and international travel for the VP, using available resources, and cost containment practices

•Work on special projects as assigned

•Manage purchase requisition process from generation through payment

•Reconcile travel and expense reports, including cash and credit card purchases; reconcile monthly procurement statements; following guidelines on department expenses

•Unit training administrator for the department

•Act as a point of contact for employees

•Review current office processes and implement changes as needed

•Responsible for meeting agenda and minutes

•Process approvals as delegated

•Schedule resources such as people, meetings, appointments, rooms, and equipment; answers telephone calls, takes messages, responds to questions, and directs callers to appropriate parties, as necessary

•Willing to attend occasional Wednesday global staff meetings until 6:00 p.m.

•Prepare, compose, and edit most complex memos, documents and other correspondence. Prepare and finalize presentations, reports, spreadsheets and other documents. Guides the maintenance of database information

•Promptly respond to manager and staff correspondence, follow up to ensure closed loop communication or reference to appropriate resources

•Able to work under [periodic] intense time pressure to meet required deadlines

•Able to work pleasantly and respectfully with others in a fast-paced, sometimes stressful environment

•Able to work long days as may be required from time to time

•Retain documentation of approvals when acting as a delegate in approval portals

•Provide new employees with the tools and resources required to be productive upon start date

•Maintain organization charts, distribution lists

•Coaching and mentoring employees on tools and processes

•Participate in meetings with the Ultrasound business Administrative Assistants to review process improvement ideas and other issues

•Manage onsite /offsite events and logistics; including site selection, communication, catering, activities, agenda, room set-up, audio/visual resources, presentations

•Proactively shares knowledge across own organization

Knowledge and Experience:

The ideal candidate will offer the following abilities and knowledge as demonstrated in previous work experience:

•Demonstrated ability to manage details and priorities in a fast paced, intense environment in high-tech company

•Proven experience in assisting senior level executives and their teams

•International work experience preferred but not required; Proven intercultural sensitivity desired

•Exceptional communication, organization, productivity and time management skills

•Self-starter; Proven ability to work independently and with minimal supervision

•Responsible with sensitive and confidential information

•Effectively represents company’s image in internal/external communications

•Second language desired (German, Korean)

•MS Office Suite (preferably in MS 2010)

•Very good communication skills

•Minimum 8 years of successful experience in area of responsibility and successful demonstration of Key Responsibilities and Knowledge

•Strategic thinker and creative problem solver
